Getting Started

Welcome to Aptli - an application that simplifies tracking and maintenance of real-world assets, enabling teams to collaborate on complex jobs, deploy standards for representing assets, and provide multiple views on progress, relationships, and network health.

First Steps

1. Login Navigate to your Aptli instance and login with your credentials:

  • Email and password
  • Or OAuth provider (GitHub, Google)
  • Two-factor authentication if enabled

3. Explore the Interface

Aptli’s interface is organised around a set of primary navigation groups. Each group brings together related pages and workflows:

  • Field Records – the map: view geographic features, jobs, and layers
  • Fulfillment – manage projects, jobs, work orders, reports, and activities
  • Inventory – track sites, stock items, transactions, and resources
  • Help Requests – raise and track support requests
  • Admin – manage users, roles, versions, and application settings (only the entries your rights allow)

When licensed, an Addons group (e.g. Automations, Service Portal) appears as well.

4. Jump anywhere with universal search

Press Cmd/Ctrl-K from any page to open universal search — a command palette that searches your records across the app. Type a term, press Enter, and pick a result to jump straight to it. (This is different from the map's own Search window, which finds features and flies to them on the map.)

5. Find your role What you see depends on your admin rights and role restrictions. For a short path through the guides tailored to what you actually do, see the Find your role section at the bottom of this page.

Guided Tours

Aptli includes built-in guided tours that walk you through key pages step by step. Tours auto-start the first time you visit the home page after logging in.

If you close a tour by accident, you can replay it any time: open the sidebar navigation and click Start tour (the play button near the bottom of the menu). The button only appears on pages that have a tour, and only when tutorials are enabled.

If tutorials are turned off, you can re-enable them from your profile:

  1. Open the navigation menu and go to My Profile (or navigate to /admin/my-profile).
  2. Click the Tutorials toggle to turn them back on.

Re-enabling tutorials also resets the "already seen" record, so tours will auto-start again on the home page as if it were your first visit.

Find your role

Aptli covers a lot of ground, but you only need your slice of it. Pick the role that fits what you do — each opens a short, ordered path through the guides that matter to you. (You may wear more than one hat; open as many as apply.)

What you see depends on your access. Admin rights control what you can change; role restrictions control what you can see. Two people can open the same page and use it very differently.
Field Supervisor / Technician — you do and document work in the field

You mostly work from a tablet or phone: picking up assignments, capturing job updates, and filing reports.

  3. Jobs — one job at a time
  4. Reports — proof of work, locked on submit

When you need it: Validations · Working offline & versions · Help requests

Work Coordinator — you plan and assign the work

You scope jobs, decide who does what, and release work to the field.

  2. Work Orders — bundle jobs and assign to a worker or team
  3. Activities — your catalog of work types
  4. Version Management — how edits queue, then publish

When you need it: Projects · Resources

Project Manager — you track campaigns and progress

You group work into campaigns and watch aggregate progress fill in from the field — without managing each job yourself.

When you need it: Validations · The home dashboard

Warehouse / Inventory Handler — you stock sites and facilitate transfers

You keep sites stocked and hand materials to field crews — often via a QR pickup or facilitated transfer.

  3. Transactions — every movement, and QR pickups
  4. Resources — material types and pickup policy

When you need it: Mobile (PWA) for scanning on a device

Administrator — you manage people, access, and settings

You bring people on, decide what they can do and see, and configure how the instance behaves.

  1. Granting Access — invite users and assign rights
  2. Authorization — rights, roles, and restrictions
  3. Authentication — login methods and security
  4. System Settings — org-wide configuration

When you need it: Audit History · Versions · Help-request triage

GIS / Map Specialist — you build and maintain the map

You create and import geographic features, organize layers, and keep schematics accurate.

  3. GIS Imports — GDB, SHP, GeoPackage, DXF, and DGN
  4. Schematics — non-geographic diagrams
